Patient Statements

Send professional patient statements via print, email, or patient portal. Automated statement cycles, aging-based messaging, and integrated payment options accelerate patient collections.

Patient balances are the part of the revenue cycle the practice controls least and feels most. A statement that is confusing, late, or sent to the wrong address does not get paid, and a patient who does not understand a balance calls the front desk. Patient Statements produces a statement a patient can read, sends it the way the patient prefers, and makes paying it the easiest option on the page.

Statements are generated on a cycle the practice sets, only for balances that are actually the patient’s responsibility after insurance has finished. Each statement itemises the visit, what insurance paid, what it adjusted, and what remains, with the practice’s own wording for each aging stage: a first notice reads differently from a third.

Delivery is print, email, or the patient portal, chosen per patient. Online payment is built in through Square, so a patient who opens an emailed statement on a phone can pay it in the same minute, and the payment posts back to the account without anyone keying it in.

What the statements module does

Automated statement cycles

Statements run on the practice’s schedule, skipping balances still with insurance and accounts on hold or payment plans.

Readable itemisation

Each visit shows the charge, insurance payment, adjustment, and patient balance, so the number at the bottom is explained above it.

Aging-based messaging

The practice writes the wording for each notice stage. First notices are informative; later ones are firmer. The platform picks the right one per account.

Print, email, and portal delivery

Delivery is set per patient. Emailed and portal statements include a pay link; printed statements include the portal address and a reference.

Online payment through Square

Card payments made from a statement post to the patient account automatically, with the Square transaction reference on the ledger.

Holds and payment plans

Accounts in dispute, in a hardship arrangement, or on a payment plan are excluded from the cycle and tracked separately.

How It Works

1

Transfer

When the payer finishes adjudicating, the remaining responsibility moves to the patient account automatically.

2

Generate

On the cycle date, statements are built for eligible accounts with the message for their aging stage.

3

Deliver

Statements go out by the patient’s chosen method, and each delivery is recorded on the account.

4

Collect and post

Online payments post themselves. Mailed checks and in-office payments are posted against the statement, and the next cycle reflects the new balance.

Frequently asked questions

When is a patient sent a statement?
Only after insurance has finished and a patient responsibility remains, and only on the practice’s cycle date. Balances still pending with a payer, accounts on hold, and accounts on an active payment plan are excluded automatically.
Can patients pay online?
Yes. Emailed and portal statements carry a pay link, and the practice’s Square account processes the card. The payment posts to the patient’s account with the transaction reference, so no one has to match a receipt to a balance by hand.
Can we change the wording on statements?
Yes. The practice controls the message for each aging stage and the overall layout within the template, so a first notice can be friendly and a final notice can be clear about next steps, in the practice’s own voice.
What if a patient disputes a balance?
The account can be placed on hold, which removes it from the statement cycle while the practice reviews the claim and the payer’s adjudication. The hold, the reason, and who placed it are recorded on the account, and the balance returns to the cycle only when a person releases it. A patient who calls about a statement is never sent another one while the question is open.
